Chapter 36. Individual Membership Application

Overview

Use the Individual Membership Application to review and apply for an individual membership with this organization. Enter your personal and contact information in the provided fields. Asterisks are used to indicate which fields are required. You don't need to enter information in optional fields but it may make it easier to interact with other members and take fullest advantage of your membership benefits.

The membership process may include a terms and conditions statement to which you must agree before the application form is displayed, and billing or moderation steps that are initiated when you submit the application. If there is a membership fee, you may be able to pay it online with a credit card. If membership applications are moderated, you may have to submit additional information off-line before moderators can approve your membership, so be sure to read and follow the instructions in the online application forms.

When you have completed the application and clicked the submit button, the Membership Information page is displayed. This page provides important information about the status of your application and information about what happens next in the application process. You should bookmark the confirmation page because it always displays the real-time status of your company membership.

Once your application is approved and your membership goes current, you will be sent a login link and further instructions via email. Click the login link to go to a page where you can enter a password for yourself.

Note

An approved applicant is issued a login link rather than a password because there is no way to guarantee the confidentiality of information transmitted via email. The login link provides you with one-time login permissions. When you click the login link you will be taken to a page where you can enter the password you want to use to login from now on. You may also have the option of editing your username. Make a note of the username and password, since you will need to use them the next time you login.

How to Complete the Individual Membership Application

Membership application forms are configured and customized for each type of membership, so the form you use may not contain all these fields. The form may also contain custom fields that aren't documented in the online help.

Personal Information

The Individual Membership Application is displayed. Enter your name, primary email address and other information in the appropriate fields. You may be allowed to opt-out of subscribing to the members newsletter, opt-out of sharing certain kinds of personal and contact information on member directories, or opt-out of automatic membership renewal. For more information on the various form fields, see below. When you are done entering your information, click Next to submit your application form.

Many of form fields are self-explanatory, those that may not be include:

Personal Info

Enter the user's name and title exactly as it should appear on the company roster (depending on your organization's privacy policy and the user's privacy preference settings), in any Kavi® Groups in which the user participates and other dynamic lists.

Primary Email Address

Enter the email address where you want to receive your login link and other member emails. Make sure you enter your primary email address correctly, since login instructions are sent to this address when your membership becomes current. The primary email address is usually required, but if it is not, you should enter one anyway, since you cannot be sent a login link or automatically subscribed to the Members announcements list unless you provide an email address at this time. If you submit an application without a valid email address, you will have to contact organization administrators later in order to get your account login and subscription to the Members mailing list.

You may be allowed to enter other email addresses. These alternate email addresses are often automatically added to a Posters list to give you posting privileges under these addresses.

Preferences

Available privacy preference options depend on your organization's policies and web site configuration.

The following options may be available:

Receive Members Email

If this is set to 'No, do NOT send general members email', this user will be unsubscribed from the Members@(your site domain.org) email list and can be excluded from template-based email tools. Administrators may take this user's preferences into account when sending other kinds of communications.

Note

This setting does NOT affect other mailing lists or contact options on this site, including those in Kavi® Groups.

Privacy Option

If set to 'Yes, share information', user information will be displayed on the roster.

If set to 'No, do NOT share information', this user's information or entire account can be hidden, depending on the site configuration. Selecting this setting has the following effects:

  • Removes (or partially hides) this user from a roster of people from the same company available to this company

  • Removes (or partially hides) this user from membership rosters and directories

  • In Kavi Groups, sets 'Display my address and phone number in addition to my name and email address' to 'No'

Membership
Auto-Renewal Opt-Out

If this option is displayed, you may opt-out of auto-renewal. Auto-renewal simply initiates the membership renewal process automatically. If there is a fee for this membership a bill is created but your credit card is NOT automatically charged. You pay the bill for an auto-renewed membership as you would pay for any renewed membership. If you opt out of auto-renewal, you can renew your own membership or an administrator can do it for you.

Most auto-renewed memberships are renewed at the same membership level. If your organization offers different levels of memberships and you wish to renew at a different membership level, simply contact an organization administrator when you receive the renewal notice and the administrator can handle this for you.

Membership

Displays membership information for you to review before submitting your application. This information includes any fees that may apply and indicates whether the membership is auto-renewed or not.

Pay a Bill

If this is a billed membership, you are taken to the Pay a Bill tool. If this organization has online credit card payment enabled, you can pay your bill by credit card and print a receipt. When you are done with this process, click the 'Back to Membership Status' button to have the Membership Status page displayed.

Membership Status

When you have completed all the steps that can be performed online at this time, the Membership Status page is displayed. You should bookmark this page for future reference, because it will always display the current membership status and provide you with the information you need to manage your membership.

Once your membership application is approved and your membership goes current, an email with a login link will be sent to you. Use this login link to log into the site for the first time, set your password and begin to enjoy the member benefits offered through the organization's web site.
