Chapter 74. Manage a User

Overview

The Manage a User tool allows administrators to manage a user's information, including the user's contact information, company affiliation and website access permissions.

Note

Membership information and links to membership management tools are available if:

  • Membership is 'on' and configured for your organization's web site

  • This is a company whose purpose is 'Member Company' or this is a user whose purpose is 'Individual Member'

Use the Manage a User tool to:

  • Retrieve and view a user's company, personal and membership information stored in the Kavi Members database.

  • Access links to tools to manage this information.

How to Manage a User

Search

Search for a user or set of users by setting any or all of the optional fields to refine the search criteria. When you are finished setting the search criteria, press Search. For faster searches, set multiple search criteria to retrieve a narrowed set of results. When multiple search fields are set, the results only include users who match all search criteria. If your search doesn't retrieve the results you need, use the Back button to return to the search step and reset the search parameters to retrieve a slightly larger set of records (e.g., search by partial name instead of full name). To view all available users, you may leave all search fields set to their default values, but searches that retrieve a large number of records are inherently slower than searches that retrieve a small number of records.

Select

The results of your search are displayed; select the appropriate user.

Manage

Information for the user you selected is displayed, along with links to tools that allow you to manage this information. These links can include Edit, Change Status, Change Password, Delete, Activity History and Send Email. There is also a link to manage the company in the 'Company Name' field.

Fields that may not be familiar include:

Purpose

The Purpose assigned to this user (e.g., 'Company Representative', 'Individual Member', 'Individual Nonmember', 'Staff').

Status

This value is either 'active' or 'inactive', and indicates whether the user has access privileges to protected areas of the site.

Last Login Date

A datestamp updated the last time the user logged into the website.

Preferences

This user's privacy preference settings.

Depending on web site configuration, the following fields may be displayed:

Receive Members Email

If set to 'Yes, send general members email' this user will be sent all the usual members email. If set to 'No, do NOT send general members email', this user will be unsubscribed from the Members@(your site domain.org) email list and may be excluded from email sent through the 'Send Template-Based Email' tools.

Note

Administrators may also use this field to make decisions about what other kinds of communications to send to this user. This setting DOES NOT impact any other mailing lists or contact options on this site, including those in Kavi® Groups.

Privacy Option

If set to 'Yes, share information', user information will be displayed on the roster.

If set to 'No, do NOT share information', this user's information or entire account can be hidden, depending on the site configuration. Selecting this setting has the following effects:

  • Removes (or partially hides) this user from the company roster. This roster is only available to other users who belong to the same company and to administrators. The kinds of information that are hidden depends on organization policy and site configuration.

  • Removes (or partially hides) this user from membership rosters and directories.

  • In Kavi Groups, sets 'Display my address and phone number in addition to my name and email address' to 'No'.

Note

Administrators may use this field to make decisions about whether this user should be displayed in other places that are unique to this site.

Contact Types

A list of any Contact Types assigned to this user. A Contact Type defines how the user represents their company to the organization. Privileged Contact Types, such as Primary Contact, may confer roles that provide access to the Company Admin Area, Kavi Edit access, etc.

General User Types

Any general User Types assigned to this user.

Admin User Types

User Types assigned to this user that convey Admin Area access.

Kavi Edit Access

A list of any User Types assigned to this user that convey Kavi® Edit access.

Roles

A list of any roles (e.g., 'member', 'wg_access', etc.) in this user's role cache. A user can acquire roles by being assigned Contact Types or User Types, or may inherit roles through Company Types assigned to their company. There may be multiple copies of the same role in a user's role cache if the role is associated with more than one type.

Last Modified

A datestamp updated the last time the user's information changed.

User's Membership

This section is displayed if membership is enabled on your organization's website and this user's purpose is 'Individual Member'.

Membership Fields and Options:

Name

The membership name.

Membership State

The state of this membership in the membership workflow process (e.g., 'current', 'archived', 'pending moderation', etc.).

Bill

If Kavi® Billing is installed and this membership type has a fee, then the billing information for this membership is displayed in this field:

  • The status of the bill, as defined in Kavi Billing. This can be one of several default values.

  • The amount of the membership fee.

  • The Complete Payment link is displayed if payment is pending. Click this link to complete the payment process.

Term

The term of this membership, as defined by the date the membership became effective (i.e., 'Start Date') and the date it expires (i.e., 'End Date'). If this is a lifetime membership, the second value in the pair will be 'Lifetime', rather than a specific date.

Action

Depending on membership rules, the following links may be displayed:

Edit

Click this link to manually edit the start and end dates of this membership.

Renew

Click this link to renew an expiring membership.

Replace

Click this link to replace this current membership with a different type of membership.

Delete

Click this link to delete this membership.
